Email Mailbox Best Practices
Storage Management
- Monitor usage — Check storage usage in your dashboard regularly
- Configure retention — Set appropriate retention policies based on your plan
- Archive old emails — Download and archive emails you want to keep long-term
Performance Tips
- Use IMAP folders — Organize emails in folders for better performance
- Limit sync range — Configure email client to sync recent emails only
- Regular maintenance — Periodically clean up unnecessary emails
Certificate Best Practices (Encrypted Mailboxes)
- Backup certificates immediately — Store PKCS#12 files in a secure, offline location
- Set expiration reminders — Certificate renewal is required before expiration
- Test after renewal — Verify new certificates work with your email client
- Keep old certificates — Previously encrypted emails need the old certificate for decryption
danger
Our zero-knowledge architecture means we cannot recover lost private keys. Certificate backup is your responsibility.
Security Recommendations
- Use strong, unique IMAP passwords
- Enable TLS 1.2+ (enforced by Motorical)
- Rotate IMAP credentials periodically
- Monitor mailbox access logs for suspicious activity
Troubleshooting
Cannot Connect to IMAP Server
- Verify you are using IMAP credentials, not your Motorical account password
- Check server:
mail.motorical.com, port:993, security:SSL/TLS - Test with:
openssl s_client -connect mail.motorical.com:993 -crlf
Emails Not Being Encrypted
- Verify MX record points to
mail.motorical.com - Check domain is verified in your Motorical dashboard
- Ensure mailbox has a valid S/MIME certificate
Certificate Issues
- Ensure certificate matches your domain/email address
- Check certificate expiration date
- Verify certificate chain is complete
- Regenerate certificate from the mailbox management page if corrupted
Performance & Storage
If experiencing slow performance:
- Reduce the number of emails in a single folder
- Configure your client to sync only recent messages
- Check your plan's storage quota
